Week 2, Chapter 2: Planning Business Messages

Your textbook author identifies the first phase in the writing process as the prewriting phase. This phase has three tasks: analyzing your audience, anticipating their reaction, and adapting to their needs.

Think of a message in your personal or professional life that you may write in the next few weeks. Explain how you will analyze your audience and anticipate your audience’s needs. Discuss how you will adapt your message based on the results. If you do not anticipate writing a message in the near future, then create an imaginary situation to use in this blog assignment.

If I had to write a letter to a patient explaining their condition I would find a way to make it easy to under. I would put the medical terms in lay person language so it would be easy to understand. I would make the letter short and to the point so the person did not have to read a lot of unnecessary information. And I would try to keep in mind that they will have questions so I would do my best to cover all the information needed to answer them.

I write messages on an everyday basis. Most of the messages are preformatted for our use. However, there are times when we have to send a message to coworkers to inform them of the processing instructions on claims.
When I write a message for work, I take into consideration that it will be going to coworkers that can speak CPW with me. I just have to make sure that they can understand what I am saying if I am using the jargon. I also want to make it clear what I need from them and by when.

Being in the retail business, I occasionally have to work closely with my retail buyers. For instance, if I am low on sizes of a certain item I need to let the buyers know so they can order more. Therefore, I have to be as exact as possible with sizes, color, and how soon I will need the replenishment. It would also be very important to know what vendor I am addressing so that I don't request the wrong item.

Being in the archery business I have learned that in order to make a customer happy you must present yourself in a confident, polite manner. Working with customers through email was never a proud thing for me, due to you lose that personal connection with them and it is hard to tell what they are looking for. Most of the customer emails I have delt with are from unhappy customers who are looking for answers to a problem they previously have had. I must sound content and willing to help, and most of all keeping my confidence in what I am writing is a huge step to convincing that customer that I know what I am talking about therefore he will feel more comfortable listening. I love to get right to the point, and also make them feel that they have been taken care of in a professional manner, which in most cases will make that customer wanting to come back.

Hello, my name is Natalie Crook. I have a Massage Therapy diploma, but decided that it wasn't what I really wanted to do as a career. Instead, I give massages for friends and family on the side. I am currently in the Medical Assistant Associate degree program, however I plan to become a Registered Nurse. I am a very outgoing person and therefore, my family and friends are invaluable to me. I love to do outdoor activities such as camp, fish, hunt, boat, etc. I love nature, animals, and just hanging out and having fun. I am also a karaoke freak! I guess everyone has their obsessions. I plan on sending a text message and/or voice message to a friend who I haven't spoken to in a few months. This is not because we are upset with each other, instead it is because of our busy lives and limited time. She lives out of the area so we normally keep in contact frequently, but I want to send a message that will reflect the fact that I feel terrible that we've had such a long gap since we last spoke. I will include an apology for this time gap, an introduction which expresses how much I miss her, and extend an invitation for her to call me when it is convenient for her to talk and catch up. In addition, I will cater my language and expressions to fit how well I know her so that she can get a laugh out of the message. This will remind her of the importance of our friendship, while probably sparking a memory.

I plan to put together a mailing to invite area producers to a commodities marketing meeting. There is a wide variety of producers interested in trading on the markets that may include cattle, hogs, milk and an array of crops. I will need to find a mutual point of interest in all of these people and create the desire to attend. The main points in my message will provide a synopsis of the many options out there to become profitable with the markets.

In the near future I plan on redesigning a website for my husbands' band. This will include writing messages to the fans, composing pages for marketing the band and promoting them for the agents.
I will have to consider the audience; the fans, agents, and vendors. I will make sure that my message is professional and it captivates thier attention. I will strive for keeping the attention of the reader, getting repeat visitors to the site, and spreading the word of my husbands' band.

Almost daily I write emails or letters to the people I supervise, customers, other supervisors and my manager. Understanding your audience and their reaction is very important. Capturing the correct tone in an email is difficult and if my words and structure are not planned well I can become confusing or rude or anything but what I intended. A lot of what I write is instructional or persuasive so it needs to be clear and concise or the point gets lost.

If I do write a message in the near future, it will be for work. I am a service technician. I will be writing to fellow technicians that I know. The message will probably be asking for help or sharing a solution to a problem. The tone will be casual, friendly, and technical terms will be used. My fellow technicians are busy and do not have much time to read and respond to emails. I will have to keep the message short and to the point to achieve maximum feedback. Clearly stating my questions or answers will also help my cause.

In the near future, I plan on writing reports to my supervisors about patients that I will work with. Since my supervisors will be reading my reports, they will be my audience. I will take into consideration the facts that I should share and keep what needs to stay confidential to myself. I anticipate my supervisors to know as much about my patients as I know them. I will adapt my results by making sure that they are correct and for me not to add unnecessary facts about my patients.

I plan on writing a business plan for a class this quarter. The plan itself will have to be very detailed and well organized. The audience will be focused on the other students in the class, since it is a presentation, and my instructor. I will have to follow the guidelines included in the instructions as best I can in order to get the most out of it. I will have to put a lot of time and energy into it and make the plan look as professional as possible.

My message will be to my AmericInn supervisor. I will be asking for time off.
• The audience is Sara (housekeeping supervisor), who is also a friend.
• The message will be conversational yet professional.
• I need to have a positive tone.
• Even though she’s a friend, she is my supervisor, so I shouldn’t use any slang.
• Sara needs to know that someone will cover the hours I miss.
• She also needs to know how many days I need off.
To adapt the message I will follow this list and make sure to cover all areas. I’ll keep the message short and readable, and use the “you” view to show what I will do for Sara to make it easy for her.

A message that I may write in the next few weeks will most likely be for this class. Even right now, I am writing a personal message about analyzing my audience, anticipating their reaction, and adapting to their needs. My audience can be anyone who has access to this blog so I must be courteous, respectful, and professional in my message. My message must be simple and clear so it is easy to understand. Then, based on the results, I may or may not need to adapt my message. I must also take into account that this message is an assignment and I need to fulfill all of the requirements.

I was asked to write a letter to both of our U.S. Senators in Wisconsin about the high costs of healthcare for people who don’t have insurance. I explained to them first that I was a student at Globe University, and that our assignment was to find out what each of there personal visions were for the future in America about the rising costs of health care. When I wrote the letters to them, I told them about my personal health insurance coverage that I have at my job. I went on to tell them about how I was one of the baby boomers that are coming up. Explaining to them how the pressure on the availability and the cost of health care is going to become much worse in only a few years from now. One part of the assignment was to find out from them whether or not they believed that they could be any other aspects of universal health care models that we could be implementing here in the United States. I hope that they both will have some excellent comments for me to bring to class for discussion on their own personal views for all of our futures.

For my Anatomy and Physiology class I am required to write a research paper. In order for me to write this I have to keep my professor in mind because he will be the one reading the paper. I need to think of a topic that not only I find interesting but one that he will also. I will have to follow the instructions for what needs to be included in the paper. I will have to plan out what information I believe to be the most important, beneficial for someone to know, and make it look and sound as professional as I can.

One of the many things I anticipate writing are essays for my English class. This is writing that is much more formal and has to be written very precisely. So in this form my audience is already chosen for me. It would be the teacher and probably a few classmates, too. The reaction of the audience is fairly predictable because if I do not write the way I am supposed to then I will be down graded. So then it is I who must adjust and make sure that everything is in order.
